Updates to SuccessFactors

The SAP SuccessFactors Human Experience Management (HXM) Suite H2 2022 release came out in December 2022 and is filled with various enhancements to improve your business processes and system usage. This is the second article in a series of three articles covering the new enhancements. In this article, we will cover recruiting, onboarding, and learning.

Recruiting

Here are the key enhancements made to the applications that make up the Recruiting offering.

  • Ability to schedule job interviews that cross midnight
    • Recruiters can now schedule interviews that cross midnight in their own time zone. This enhancement allows recruiters to schedule a time that is good for the time zone of the interview participants.
  • Internal candidates are now included in recruiting email campaigns
    • Recruiting email campaigns now allow campaigns to be sent to internal candidates. This enhancement helps companies target employees for open roles and not just people outside of the company.
  • Replacement of Google Universal Analytics for Career Sites
    • Google is replacing Universal Analytics with Google Analytics 4. Career Site Builder administers need to update their configuration settings by July 1, 2023.
  • Support for special characters in job searches
    • Keyword and location searches in career sites now recognize special characters and treat them as if they were regular characters. This enhancement enables search results to be the same whether the search term used includes special characters or not.
  • Replacement of DocuSign authentication method for Recruiting integrations
    • The basic authentication method for DocuSign e-Signature integrations for offer letters will be replaced by OAuth 2.0 on March 31, 2023. Customers using DocuSign integration need to enable the new authentication method before March 31, 2023. Previously, this was scheduled for September 2022.
  • New job boards in the Job Board Market Place
    • Five new job boards have been added to the Job Board Market Place:
      • jobs (Switzerland)
      • CVBankas (Lithuania)
      • Get in Engineering (Germany)
      • ch (Switzerland)
      • Net-Empregos (Portugal)
    • Test job postings on a Sandbox before posting them on a job board
      • You can now identify the job boards that provide a sandbox to test your job postings from the Recruiting Posting Preview environment. The Sandbox Available label in Job Board Market Place and the job descriptions will show the job boards that allow you to test your job postings before you post the job externally. This enhancement means that recruiters can now test the job postings directly from the Recruiting Posting Preview environment and coordinate with the job boards to monitor the test job posted on the job board.
    • New Qualtrics feedback opportunity for application status change
      • You can use Intelligent Services events to send information to Qualtrics, which allows administrators to create Qualtrics surveys for candidates when their application status changes.

Onboarding

Both Onboarding 1.0 and Onboarding have had a number of enhancements provided in the H2 2022 release.

  • New compliance forms for the USA
    • New compliance forms for the USA have been added to Onboarding 1.0 and Onboarding:
      • Formulario CC-305: Voluntary Self-Identification of Disability (Federal; Spanish language)
      • DR 1059: Affidavit of Exemption for the Nonresident Spouse of a U.S. Servicemember (Colorado)
      • Form HW-6: Employee’s Statement to Employer Concerning Nonresidence in the State of Hawaii (Hawaii)
      • Revenue Form K–4M: Nonresident Military Spouse Withholding Tax Exemption Certificate (Kentucky)
      • IL-W-5-NR: Employee’s Statement of Nonresidence in Illinois (Illinois)
      • Form M-4-MS: Annual Withholding Tax Exemption Certificate for Nonresident Military Spouse (Massachusetts)
    • Updated compliance forms
      • Several compliance forms for USA, Canada, and New Zealand have been updated. Most forms are updated with the year or amounts/tax rates. Some specific enhancements have been made to USA form I-9 and to E-Verify.
    • Rehire with Old Employment
      • You can now rehire a candidate using details of their previous employment in your organization when processing pending hires coming from Onboarding. This applies to onboardees coming from SuccessFactors Recruiting or other applicant tracking systems (ATSs) and in the Manage Pending Hires tool. A new permission has been added for access to this new feature in Manage Pending Hires. This enhancement enables you to rehire an employee in Employee Central that had previously held an employment using that employment, instead of entering the details from scratch.
    • Replacement of DocuSign authentication method for Onboarding integrations
      • The basic authentication method for DocuSign e-Signature integrations will be replaced by OAuth 2.0 on March 31, 2023 for both Onboarding 1.0 and Onboarding. Customers using DocuSign integration need to enable the new authentication method before March 31, 2023.
    • Increase in the limit of users in a responsible group
      • The number of users in a responsible group is now 200 users. Responsible groups assigned to Form I-9 signature task and E-Verify task remain limited to 20 users. This enhancement increases the number of users in a responsible group from 20 to 200, so that you can add the actual number of people that are responsible for certain onboarding activities/tasks.
    • Onboarding pages now support onInit business rules
      • Business rules can now be triggered upon initialization (onInit) of Onboarding pages, including the New Hire Data Review, Personal Data Collection, and Rehire Data Review pages. You can also apply onInit business rules on the Provide Additional Data page when the onboarding process is initiated from the Add New Hire to Onboarding page. This enhancement enables rules to be triggered on pages when they are launched, which could enable actions such as prefilling information or raising messages to the user.
    • Change to trigger of welcome email notification
      • If the Onboarding process is restarted after Onboarding initiation and before the New Hire Data review step, then the welcome email notification is now sent to a new hire after completing the New Hire Data review step. This enhancement improves the new hire experience by ensuring that they only receive the welcome email once and at the appropriate time they should receive it.
    • New API to get the Username of the newly hired employee
      • The getUserNameOfNewlyHiredEmployee API has been introduced to enable the username of a future onboarded employee to be retrieved via API. This enhancement enables integration with downstream processes in other systems.
    • Guided Experience for Onboarding in SAP SuccessFactors Work Zone is now available
      • Onboarding Guided Experience is now available in SAP SuccessFactors Work Zone. This enhancement provides an improved experience for onboardees for customers using SAP SuccessFactors Work Zone.
    • SAP Identity Authentication Service support for new hires
      • New hires in Onboarding can now be authenticated using SAP Identity Authentication Service (IAS) before joining the company. This uses the System for Cross-domain Identity Management (SCIM) API. This enhancement enables customers using IAS to allow onboardees to log in to SuccessFactors without being an employee and therefore having a user account in IAS.

Learning

The H2 2022 release bring several new enhancements to the Learning solution.

  • End of Development for Integrated External User Feature
    • The Integrated External User feature has reached end of development and will be deleted on November 19, 2024. Customers must find a different way of integrating external users with Learning. These are detailed .
  • Mobile Open Content Network (OCN) support for Course Home
    • External course support is now available in the new mobile Course Home screen. This enhancement enables learners to complete enrollment, submit approval requests, preview and view content online, and complete post-course actions on the Course Home screen in SAP SuccessFactors Mobile app.
  • Learning Assessments for Content Packages
    • Exam type assessments can now be associated with content packages. This enhancement replaces the legacy exam object for content packages that had been previously removed from Learning. The previous legacy exam object associations are preserved so that they can be used as a point of reference for new exam type assessment associations.
  • Global User ID on User Details page
    • It is now possible to display the Global User ID on the User Details page. This enhancement helps administrators verify if a user is created in SAP Cloud Identity Service Identity Authentication (IAS) at the same time the user was created in Learning.
  • Additional data sent to Qualtrics after completion of a learning assignment
    • Additional data is now sent to Qualtrics once a learner completes a learning assignment, which allows administrators to create Qualtrics surveys for specific courses.
  • Replacement of User Native Learning sign-In
    • Sign-in for native users will be replaced with Identity Authentication. Native User Learning Sign-In is not possible with the 2H 2024 release, so customers need to enable and configure SAP Cloud Identity Service Identity Authentication (IAS) for users to access Learning.
  • Changes to Microsoft Teams VLS integration
    • Microsoft have updated their attendance API for Microsoft Teams virtual learning sessions and a permission change in the Microsoft Azure API permissions is required. Additionally, SuccessFactors added the ability for administrators to add a Microsoft Azure email address to the user profile to ensure attendance is properly processed for virtual time slots. Customers need to make the appropriate changes to ensure this integration continues to operate correctly.
