A maintenance backlog is rarely one big failure. It’s usually dozens of small ones: a notification unassigned for four days, an order stuck at “released” because no one scheduled it, a job confirmed but never closed. Each step below is where that happens.
The Core Path: Notification to Technical Completion
A maintenance process in SAP EAM (SAP Plant Maintenance / S/4HANA Asset Management) moves through six stages:
- Notification. An operator, inspector, or sensor-triggered alert raises a maintenance notification against a piece of equipment or functional location. No resourcing yet — just a flag.
- Order creation. A planner converts the notification into a maintenance order, usually pulling in a task list — a pre-defined set of operations, materials, and durations for that equipment type.
- Planning. The order is filled out: labor, spare parts, permits, safety certificates. Planning buckets, an S/4HANA concept, let planners group orders by time period and attributes such as planner group, turning a wall of individual orders into scoped, manageable sets of work.
- Scheduling and dispatch. The order gets a date, a work center, and — via dedicated Fiori apps — often a named technician, based on visible weekly work-center capacity.
- Execution. The technician performs the work, confirms the operation, and records materials consumed.
- Completion. Every operation must be confirmed, and the order must then be marked Technically Completed (TECO) — a separate step. This is one of the most common reasons “confirmed” work still appears open in backlog reports.
Each stage is a place work can stall. Historically, seeing where required checking multiple transactions individually rather than one consolidated view.
What’s changed in how this gets managed
A consolidated planning dashboard. The Maintenance Planning Overview Fiori app puts backlog state in one screen: orders awaiting planning, released orders past their end date but not confirmed, orders confirmed but not yet TECO’d, and notifications raised but never converted into an order — the last of which is a common source of backlog that doesn’t show up as a late order because it was never turned into one.
Checklist-based inspection is now part of the workflow, not separate from it. SAP’s Manage Inspection Checklists functionality (introduced with S/4HANA 2023 FPS03) ties quality-management inspection lots directly into maintenance orders and operations, so structured readings and pass/fail checks are captured as part of execution rather than on a disconnected form.
Joule is removing steps from planning, not just answering questions. In an April 2025 ASUG webcast on that same FPS03 release, SAP product marketing described two specific figures: having Joule assign notifications to orders removes about 16 manual steps from that task, and generating maintenance plan recommendations saves around 26. The underlying mechanism is a matching model — Joule scores how closely a new notification’s attributes and symptoms match past orders, then recommends a task list based on that score. These are 2023/2025-generation capabilities, not new for 2026, but they remain the clearest quantified example SAP has published of AI shortening the planning stage specifically.
Work Clearance Management and phase-based safety gating. Where jobs require a permit or safety certificate before work can start, that requirement is now enforced as a phase gate on the order itself — the order can’t move to “in progress” until the compliance step clears — rather than tracked as separate paperwork alongside it.
Where the process still breaks
None of this changes one fact: execution and completion — steps 5 and 6 — happen at the asset, not at a planner’s desk. A well-planned, permitted, scheduled order still depends on a technician confirming the work and closing the loop, often with no reliable connectivity, on whatever device is in hand.
