Xiting recently completed an SAP role redesign for the Zumtobel Group with the Xiting Authorizations Management Suite (XAMS) as a catalyst for the S/4HANA migration.

The project was aimed at increasing the security and efficiency of the company by redesigning authorizations. A key objective was to reduce the number of roles and profiles in the system while adhering to the minimum principle in order to eliminate unnecessary access rights.

XAMS’ tools enabled an efficient SAP role, reducing the number of roles, introducing job-based roles and cleaning up critical permissions. Xiting’s project team redesigned the authorization concept for a system with two clients.

Through a productive test simulation, the new permission roles could be simulated in the production system, allowing for a risk-free, go-live without project pressure during the transition phase. This set the necessary conditions for the subsequent S/4HANA migration, leading to a successful migration of one of the clients immediately after.

Sensitive authorizations were restricted and cleansed through separate add-on roles for master data roles, key user roles and others.

All necessary steps, such as the alignment of the role content with the simplification list integrated in the XAMS, were completed within a few months. This also included the conversion of the S/4HANA-related changes in the roles and the new introduction of Fiori apps.

Hannes Schmid, operations business process data management, Zumtobel Group, said: “We wanted to make our SAP authorization management system, which has grown over the years, simpler and more transparent. At the same time, it was to be prepared for the upcoming SAP S/4HANA implementation. It was clear to us that this project goal for 2500 users, who use the various SAP modules and are distributed globally, would not be easy. That‘s why we sought external support. Our two Xiting consultants Vanessa Albuera and Jennifer Kraft already supported us during the project planning.

“During the implementation, the XITING methodology for creating the authorization roles worked extremely well. At the end of the project, we had implemented a sustainable authorization management system, exactly on schedule and within the project budget.”
